Authors and Chairs Guidelines

We encourage you to review the following information to get prepared for the congress.

For authors:

● Abstracts should be 250–300 words, written in English, and submitted through the official online submission portal.
● Abstracts should follow the Template for Abstracts available on the website and be submitted by the deadline.
● Generative AI tools must not be used to produce the intellectual content of your submission (e.g., research findings, analysis, conclusions). If you used a generative AI tool (e.g., ChatGPT) to assist with language editing or formatting, you must disclose this in your abstract at the bottom of your paper, stating the tool used and its purpose. AI tools cannot be listed as an author. Authors remain fully responsible for the accuracy and originality of their submission.
● Each registered author may present a maximum of two papers.
● All submissions are evaluated through double-blind peer review — please remove identifying information (author names, affiliations, acknowledgments) from the manuscript file itself before uploading.
● Presentation should be prepared for a 12–15 minute slot, in English, using 16:9 slide format.
● Authors of accepted papers must complete registration by the early registration deadline to be included in the final program.

For session chairs:

● Arrive at your session room at least 15 minutes early to meet presenters and confirm the running order.
● Keep strictly to time — a session that runs long affects the rest of the day’s program.
● Moderate Q&A after each presentation (2–3 minutes is typical); redirect longer discussions to the coffee break or networking time.
● Briefly introduce each speaker using the title and affiliation provided in the final program.
● Note any no-shows and inform the registration desk or organizing committee.
● For online sessions, chairs are also responsible for monitoring the chat/Q&A box and managing the queue of questions.
